Sample Memo to Send to Parent Volunteers

After you receive the responses back from the parents in your child's classroom, you may want to send out a memo to clarify who volunteered for what, and for which event. Here is a sample for you to follow:

MEMORANDUM

TO: Your Class Parents

FROM: You

RE: Classroom Volunteer Schedule

I have reviewed everybody’s volunteer sheet and have planned the volunteer list for the 3 classroom parties. There will also be two class field trips and the end of school picnic which we will need volunteers for.

Classroom Party Volunteer Schedule
I have tried to accommodate everybody’s requests from the sign up sheet. Please let me know if you have had a change in your schedule and are no longer able to make the party you are scheduled for. If you would like to switch dates with another parent, please contact them directly and let me know of the change.

I am also open to party ideas, suggestions, donations, etc!!

I am also a veteran room parent. And this year, our PTA has encouraged us to use Qlubb. Qlubb

It's so easy and parents seem to really like to use it. It has stuff like online sign-up sheets, rosters, calendars, event reminders, photos, etc.
