Sample Memo to Send to Parent Volunteers

After you receive the responses back from the parents in your child's classroom, you may want to send out a memo to clarify who volunteered for what, and for which event. Here is a sample for you to follow:

I have reviewed everybody’s volunteer sheet and have planned the volunteer list for the 3 classroom parties. There will also be two class field trips and the end of school picnic which we will need volunteers for.

I have tried to accommodate everybody’s requests from the sign up sheet. Please let me know if you have had a change in your schedule and are no longer able to make the party you are scheduled for. If you would like to switch dates with another parent, please contact them directly and let me know of the change.

I am also open to party ideas, suggestions, donations, etc!!

ROOM COORDINATORS NEEDED

Please print and complete the form below if you are interested in serving as a Room Coordinator for your child’s classroom by Sept. 4th. The duties of a Room Coordinator are to oversee in accordance with the wishes of the classroom teacher, the planning of classroom parties and the end-of-the- year picnic. Room Coordinators may also be called upon throughout the year to arrange volunteers for various field trips and/or PTA functions.
